This notice explains how Spartan Cards Limited, trading as Spartan Wholesale, uses personal data collected through this website. Spartan Cards Limited is the data controller.
What we collect, why, and how long we keep it
Trade account and application
What: Name, email, password (stored hashed) or Google sign-in, phone, business name and type, sales channels, website and social links, location, trading history, spending range, VAT and company numbers, product interests and any notes you add.
Why: To decide whether to approve a trade account and to run that account (contract and legitimate interests).
Kept for: While your account is open, then up to 6 years after it closes for tax and accounting records.
Orders
What: Items ordered, purchase order reference, notes, order values and status.
Why: To process and invoice orders (contract and legal obligation).
Kept for: 6 years, as required for UK tax records.
Profile photo
What: An image you choose to upload.
Why: To show on your account (consent — you can remove it at any time).
Kept for: Until you remove it or close your account.
Stock request form
What: Business name, your name, email, optional phone, business type, product, language, format, quantity, notes and whether you want trade updates.
Why: To answer your request (legitimate interests); updates only if you tick the box (consent).
Kept for: Up to 24 months after your last contact.
Trade launch notification
What: Email and optional business name.
Why: To email you when trade accounts open (consent).
Kept for: Until we send that email or you ask us to delete it.
Contact form
What: Name, email, optional business name, topic and message.
Why: To reply to you (legitimate interests).
Kept for: Up to 24 months after your last contact.
Cookies and analytics
What: Your cookie choice, stored in your browser. Analytics only run if you accept them.
Why: To remember your choice (necessary) and measure site use (consent).
Kept for: See the cookie banner and Cookie settings link in the footer.
Where it is stored
Form submissions, accounts, orders and photos are stored in our hosted backend (Lovable Cloud). Access is restricted: only you can see your own account data, and only authorised Spartan Wholesale staff can see submissions. Card payments are not taken on this site.
We don't sell your data. We share it only with service providers that host and run this website, or where the law requires it.
Your rights
Under UK GDPR you can ask to access, correct or delete your data, object to or restrict how we use it, ask for a copy to move elsewhere, and withdraw consent at any time. Use our contact form. We'll respond within one month.
Complaints
If you're unhappy with how we handle your data, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.
